Bulk Cancel and Archive

Cancel and archive multiple Direct Debit contracts using the Bulk Cancel and Archive template.

Managing large volumes of Direct Debit contracts doesn’t have to be time‑consuming. With the Bulk Cancel and Archive template, you can quickly and efficiently process multiple contract cancellations in one action. This streamlined approach helps reduce manual effort, maintain accurate records and ensure your Direct Debit data remains clean and up to date.

📌Note: To use your own custom cancellation codes, you'll need to create a bespoke cancellation template within the File Upload tab.


Upload the cancellations

  1. Click the Direct Debits tab on the left hand side.

  2. Click the File Upload tab.

  3. Select Manage Templates.

  4. From the template list, select System Bulk Cancel and Archive or a custom one.

  5. Click the Download icon then complete the following fields:

    • DirectDebitRef – The Direct Debit reference of the contract you wish to cancel. This may differ if using a Custom template.

    • Archive – Enter Yes to cancel and archive, or leave blank to cancel only.

    • Comment – A comment about the cancellation you would like to store in the database. This is optional.

  6. Save the file in CSV or XLSX format.

  7. Select the checkbox next to the template you want to use.

  8. Click Upload with Selected to upload your completed file.

  9. Under Template, ensure System Bulk Cancel and Archive is selected.

  10. Select Click to upload or drag and drop to upload your saved file.

  11. Click Upload File.

  12. Once the file validates successfully, click Submit this file.

If any validation errors occur while uploading your file, you’ll need to correct the errors before continuing.

You can check the status of a customer and view the comment explaining the reason for the cancellation within Contracts tab.

📌Note: Rows referencing customers with future‑dated ad‑hoc payments or pending Bacs submissions will be flagged with an error and must be resolved before processing can continue.


Create a bespoke template for bulk cancelling customers

  1. Click the Direct Debits tab on the left hand side.

  2. Click the File Upload tab.

  3. Click Manage Templates.

  4. Select Create New Template.

  5. Add a name for your template on the Template Name field.

  6. On Action type drop-down menu select Update Existing.

  7. On Template type, select Bulk Cancel.

  8. Untick does your file have a header check box to have headers removed.

  9. Select the required fields from Available Columns.

  10. Move the chosen fields into Selected Columns to apply the layout.

  11. Drag and drop to change their order.

  12. Click Save Template.

Your template then appears in the Template Management area, alongside our shared system templates. Click the downwards arrow button to download a CSV or XLSX file for completion.
