What's New

This release introduces the Unified Dashboard for Access PaySuite. It gives you a single place to see how Direct Debit, Cards & Wallets and Pay by Bank payments are performing, with weekly comparison charts, combined totals, method-specific highlights, an overview of active services and a list of recent transactions. What you see depends on your role and on which payment methods are active for your organisation.

Dashboard

Dashboard access

Everyone lands on the dashboard when they open Access PaySuite. What each person sees on it depends on their Direct Debit role and on which payment methods are active for your organisation.

  • Direct Debit figures, charts, key figures, highlights and recent transactions are shown to Client Admin users only. For Client User, Client Add Only and Client View Only users they are hidden altogether.

  • Cards & Wallets and Pay by Bank figures are shown to anyone who has that service active, whatever their Direct Debit role.

  • The Active Services panel lists every active service for every role. For roles other than Client Admin, the Direct Debit card shows its name and Manage link but no figures.

  • Services that are not active are listed for every role in the Grow Your Business section, each with a button to that service’s page.

If there is no data you are allowed to see, the performance charts and Recent Transactions are not shown, rather than appearing empty. If no service is active, only the Grow Your Business cards are shown. The Active Services breakdown chart is shown only when two or more active services have data you can see.

Payment method filter bar

A filter bar lets you focus the dashboard on the payment methods you care about. You can choose All, Direct Debit, Cards & Wallets or Pay by Bank. The charts, legends and key figures update to match your selection, and each chart subtitle shows the methods currently in view.

Timeframe selector and Chart layout

A timeframe selector lets you choose how far back the dashboard looks. You can choose 24h, 7D, 14D or 30D. The charts and the combined totals update to match your choice, and each is compared with the previous period of the same length. In the 24h view the charts show hourly figures.

You can switch between a single chart view, showing this week’s value against last week, and a side-by-side view that also shows this week’s transactions against last week. On narrow screens the two charts stack vertically.

Value vs. Previous Period

This chart shows the value collected over the timeframe you have selected, in pounds sterling, against the previous period of the same length. The header shows the total value and a percentage change badge, coloured green for an increase and red for a decrease. Each bar shows the value for the selected period alongside the value for the previous period, stacked by payment method. The previous period’s bars use a hatched pattern, so the two periods can be told apart without relying on colour. Hovering over a bar shows the value for each payment method.

Transactions vs. Previous Period

This chart shows the number of transactions in the timeframe you have selected against the previous period of the same length. The header shows the total count and a percentage change badge. Each payment method is shown as a solid line for the selected period and a dashed line for the previous period, and the legend lists only the methods currently selected.

Unconfirmed Direct Debit collections on the charts

Direct Debit collections are submitted to BACS and can take 1 to 3 working days to be fully processed, so the figures for recent collections may still change. On the value and transactions charts, Direct Debit figures for the last 3 working days keep their Direct Debit colour and are outlined in amber, so you can still tell which payment method they belong to. This applies for any period shown on the charts, and only when Direct Debit is selected and there are Direct Debit collections above £0.00 within the last 3 working days. Cards & Wallets and Pay by Bank figures are never marked in this way.

When you hover over a day within the last 3 working days on either chart, the Direct Debit row is labelled

“Unconfirmed” and shows a note explaining that those Direct Debit collections have been submitted to BACS and may change.

Why these figures can change: a Direct Debit collection is not final until BACS processing is complete. During this time, an ARUDD (Automated Return of Unpaid Direct Debit) report can be received from BACS after the payment was collected. An ARUDD is usually received 1 to 2 working days after collection, which is why the last 3 working days are marked. When this happens, the payment reverts to Unpaid, so the figures shown for the last 3 working days can change.

The information icon on each chart explains what the chart shows. When Direct Debit is selected, it adds a second line explaining that Direct Debit values are based on collection date and that collections from the last 3 working days are outlined in amber because they may still change. This line is shown whether or not there are unconfirmed Direct Debit collections. When Direct Debit is not selected, no amber outline, label, note or BACS wording is shown.

Combined totals

Four cards summarise your account across the payment methods you have selected: overall success rate, failed payments, value and transactions. Each card shows how the figure compares with the previous period, and on narrower screens the cards wrap into a two-by-two grid or a single column.

Highlights by payment method

Each payment method has its own group of highlight cards, coloured to match the method:

  • Direct Debit: collections this period compared with the previous, and success rate.

  • Cards & Wallets: gross authorised value for the period, and the success rate for the current period.

  • Pay by Bank: This period’s payments compared with the previous, and completion rate with a progress bar.

Change badges are coloured green for a positive change and red for a negative change.

Active services

The Active Services panel lists each of your enabled payment methods with its success rate for the last 30 days, shown as a donut chart, the transaction count and the value collected, in pounds sterling. A Manage link takes you to that method’s tab. Summary shows the total value and total transactions across all methods, with each method’s share. Every role sees this panel. For users other than Client Admin, the Direct Debit card shows no figures.

Marketing pointers for payment methods that are not active

The dashboard is always available, even if your organisation does not yet have access to a payment method, and the Active Services panel is always shown. Where a payment method is not active, the panel shows it as not active and points you to that product’s marketing content, so you can see what it offers and how to get access.

Selecting a marketing pointer opens that product’s tab within Access PaySuite, for example the Direct Debit content on the Direct Debit tab, so you stay within the application. No marketing pointer is shown for a payment method you can access.

Recent transactions

A single table shows your most recent transactions across Direct Debit, Cards & Wallets and Pay by Bank, so you can check recent activity without visiting each payment method’s page. References, amounts, dates, statuses and types are shown in the form that suits each method, and each status badge keeps the style it already has on that method’s own page. Direct Debit transactions appear in this table for Client Admin users only. Cards & Wallets and Pay by Bank transactions appear for anyone who has that service active.

Direct Debit

Quick Actions position and appearance

On the Direct Debit page, the Quick Actions now appear directly below the page title. The Quick Actions card stays at the top of the page as you scroll down, so the actions are always within reach. You can minimise the card using the arrow on the right-hand side, which leaves just the Quick Actions bar in view, and select the arrow again to expand it.

The actions available are Create Customer, Create Contract, Create Ad-Hoc Payment / Refund, Amend Contract, Manage Schedule and View Client Details, each shown with an icon. When you hover over an action, it is highlighted in red and a short description of what it does is shown. The minimised bar is also highlighted in red when you hover over it. The actions you see still depend on your permissions.

Confirmation screen after creating a contract

After you successfully create a Direct Debit contract, a confirmation screen now replaces the form in the drawer. It confirms that the contract has been set up and shows its key details, so you no longer need to search for the new contract to find its references. The screen is headed “Contract Created” and lists the following details, in this order:

  • Bank Reference

  • Customer Reference

  • Service User Number

  • Account Holder Name

  • Account Number

  • Bank Sort Code

Two actions are available below the details. View Contract takes you to the Contracts section of the customer’s profile and is always shown. Create Payment opens the ad-hoc payment drawer with the customer and the new contract already selected and locked, and is shown only if you have permission to create ad-hoc payments.

If the contract is created through Evo Navigator, the same confirmation and details are shown, but neither action is displayed, whatever your permissions.

Reports & Analytics

Transaction Detail report: DDCMS view

A new DDCMS-Equivalent View toggle is now available on the Transaction Summary report. When it is switched on, the report shows the same fixed columns, headers, column order and formatting as the DDCMS report for the preset you have chosen: All transactions, Payments received or Uncollected payments. The file you download uses the same layout, so any processes that load it directly continue to work as before. Switch the toggle off to choose your own columns from the full list of available columns.
