Payments marked as paid in Xero
Direct Debit operates by exception and we receive reports from the bank within two working days of the collection date. The Xero Middleware begins checking a payment status between three and five working days after the payment collection date and automatically marks the invoice as paid within Xero.

This is where invoices are still marked as paid. Our integration does not mark invoices as unpaid, as there is no status for this in Xero.
We only mark invoices as paid between three and five working days after the collection date, provided that the collection has been successful, leaving unpaid invoices classified as overdue.

A Direct Debit payment has been successfully collected but in the Xero Middleware, the payment is still displayed as pending.
Once a Direct Debit payment on Access PaySuite has been successfully collected, the Xero Middleware updates from pending to paid after 4pm following the collection according to the number of days that is set as your reconciliation days in the configure Xero tab.
If after this period the payment is still showing within the Pending tab on the Check Organisation Pending Payments page, please reach out to our support team and request to speak to an agent.
📌Note: The above issue differs to if the invoice has updated correctly within the Middleware but not within your Xero software.
There are 2 scenarios that can cause integration issues with invoices:
A Xero invoices can remain in pending after Direct Debit (DD) collection.
Payments are marked as paid in Xero but unpaid in Access PaySuite.
The Xero Middleware should be checking a payment and sending the paid status back to Xero between 3 and 5 working days after the collection date.
If the status of the payment is updated earlier or; still showing as pending in the Middleware/Xero after 5 working days, despite the payment status being updated within Access PaySuite, please reach out to our support team and request to speak to an agent.
