Configurable Represents

Retry failed Direct Debit payments with configurable rules.

Configurable Represents gives Client Admin users greater control over failed Direct Debit payments. You can configure automatic retries, manage failed payments, and view a payment's retry history directly within Access PaySuite.

Automatic retries can be turned on or off, allowing you to control how many retry attempts are made and how many days apart those attempts occur.

Configure client-level retry settings

Client Admin users can configure automatic retry settings for failed payments.

  1. Click the Direct Debits tab on the left-hand side.

  2. Scroll down to the Quick Actions panel.

  3. From the Quick Actions panel, select View Client Details.

  4. Enable Allow Retry of Unpaid Payments.

  5. Enter the required values for:

    • Failed Payment Retries - the number of retry attempts to make for a failed payment. A value between 1 and 3 can be entered.

    • Retry Delay Days - the number of days between retry attempts. A value between 5 and 20 can be entered.

  6. Click Save Retry Settings.

📌Note: Configurable Represents is a chargeable feature. When enabling Allow Retry of Unpaid Payments for the first time, you will be asked to confirm that you wish to continue.


Represent a failed payment

If a Direct Debit collection fails, Client Admin users can manually re-present the payment from the Payments tab.

📌Note: Only payments returned with ARUDD code 0 (Refer to Payer) and within one calendar month of the original payment date can be retried.

  1. Click the Direct Debits tab on the left-hand side.

  2. Under the Customers/Contracts panel, click Search Customers.

  3. Enter the customer's details and use the Filter icon to refine the search.

  4. Click the relevant customer record and select the Payments tab.

  5. Locate the failed payment with an Unpaid status.

  6. Click the circular arrow against the payment.

  7. Select a new collection date and click Represent Payment to schedule the retry.

    📌Note: The available date range is calculated automatically from your payment schedule and the payment's original due date, so you cannot select a date outside the allowed window.

When a retry is submitted:

  • A new payment is created with a Pending status.

  • The original payment is marked as Represented.

  • The retry is automatically included in the next Bacs submission file.


View a payment's retry chain

Where a payment has been retried, automatically or manually, you can view its full retry history from the Payments tab.

Within the Payments tab:

  1. Locate the payment that has been retried.

  2. Click View chain against the payment.

  3. Review the payment's retry history in the Retry Chain window.

The Retry Chain displays:

  • The original payment

  • Any retry attempts

  • Due dates

  • Payment amounts

  • Current statuses

  • Retries used

  • Retries remaining

This provides the full retry history for a payment in one place, including how many retries have been used and how many remain.
