What's New
This release introduces Custom Reports for Access PaySuite. You can now build your own reports from your Direct Debit or Credit Contracts or Payments data - choosing exactly the columns you need, applying filters, previewing the output, and saving the report to run again whenever you like.
Reports can be downloaded on demand as CSV or XLSX, or set up on a schedule so they run automatically and let you know via the Evo feed when they're ready. If you already use custom reports in DDCMS, you can bring your existing reports across using the Import from DDCMS wizard - you don't need to build them again from scratch.
Custom Reports
The Custom Reports library is your home for all saved report templates. You'll find it under Reports & Analytics.
Custom Reports Library
From the library you can see every report created across your organisation, search and filter the list, and run, duplicate, or export any of them. Editing, deleting, or managing the schedule on a report is limited to the person who owns it - for anyone else, those actions show as disabled with a tooltip explaining that only the report owner can perform them.
Creating a New Report
Click Create Report from the library page to get started. Give your report a name and choose whether it's based on Contracts or Payments data - this determines which fields are available to you. Click Next and you'll be taken to the report builder to choose your columns.
Choosing and Ordering Columns
The report builder shows all the fields available for your chosen report type, grouped into categories such as Customer, Contract, Payment, and - if your organisation uses them - Custom Questions. Search for a field by name, or browse by category.
Click a field to add it to your report. Selected columns appear as a numbered list which you can reorder by dragging, and each column can be given its own custom label. You can also choose whether the exported file includes a header row with your column names.
Setting Filters
Once you've chosen a column, you can add a filter on it to narrow down the records included in your report. The filter options available depend on the type of field - for example, date fields let you filter by a specific period, while lookup fields such as Contract Status let you pick from a list of valid values. If you remove a column that has a filter applied, the filter is automatically removed too.
Previewing Your Report
Use the Preview panel to see a sample of your report's data as you build it, so you can check your column and filter choices before saving. Preview doesn't update automatically as you make changes to selected fields or filters - click Refresh Preview when you're ready to see the latest version, so you're always in control of when a new preview is generated.
Saving, Downloading and Duplicating Reports
When you're happy with your report, click Save to store it in your library for future use, or Save and Download to save it and immediately generate a file. You'll be asked to choose CSV or XLSX format. Smaller reports download straight to your browser; larger reports appear in the Downloads tab shortly afterwards. If you try to navigate away from the builder with unsaved changes, you'll be asked to confirm before anything is lost.
From the library page, you can edit a report, including renaming it, at any time, or use Duplicate to create a copy under a new name.
Scheduling Reports
Any saved report can be set to run automatically on a schedule - daily, weekly, or monthly. For a weekly schedule you can choose any weekday. Choose a time of day (an hour period) and, optionally, a start and end date for the schedule.
When a scheduled report is ready, you'll be notified via the Evo feed - there's no separate email step to configure.
If your organisation uses the ShareFile integration for custom reports, you can select whether you require your report to be delivered to the configured ShareFile folder.
Reviewing the Audit Log
Every report has its own audit log, showing a full history of who created, edited, ran, or scheduled it, and when. You can filter the log by action type, status, or date range. This is a useful place to check if a scheduled report hasn't delivered as expected.
Downloads
The Downloads tab on the Custom Reports library page lists files from scheduled runs and from larger manual downloads that were processed in the background. Downloads under 999 rows go straight to your browser and won't appear here. Files are kept indefinitely, so you can come back at any time to download something you generated previously.
Importing Your Existing DDCMS Reports
If you already have custom reports set up in DDCMS, you don't need to recreate them. The first time you visit Custom Reports, you'll be shown an import screen listing reports you can bring across.
These fall into two groups. “Your reports” are the ones you created yourself in DDCMS - these are already ticked for you, ready to import. “Unowned reports” are reports that were originally set up by a system user rather than a named person -nobody in Access PaySuite owns these yet, so they aren’t pre-ticked, and you’ll need to choose which ones you want. Once you (or a colleague) import an unowned report, it becomes that person’s report going forward, and it will no longer appear for anyone else to claim - so it’s worth checking with your team before importing one if you’re not sure who should own it.
You can choose which reports to bring across, from either group. Once imported, a report belongs to you, and you manage it in Access PaySuite going forward - any schedules, filters, and column settings come across as they were in DDCMS. If you don't want to import everything straight away, click Skip for now - you can come back and import the rest later using the Import from DDCMS button on the library page.
Once a report has been imported, continue to make any future changes to it within Access PaySuite rather than in DDCMS, so your settings stay in sync.
